Computing Services Policy
Confidentiality of Information

Persons responsible for management or maintenance of computer, network, telephone, and/or information systems may, in the course of their duties, have access to proprietary, personal or confidential information not available to other employees and students. Professional ethics dictate that any person having access to such information use that access only to the extent required to discharge the responsibilities of that person's position, and not disclose any such information except as required in the performance of the person's duties.

In general, any information residing in systems, networks, databases, file space allocated to individual users, electronic mail message files, and any other information so designated by appropriate University authority is to be regarded as proprietary, personal and confidential and is not to be accessed without just, authorized cause. If in the course of a person's duties, abuse or misuse of resources is suspected, then it is incumbent on the individual to bring this to the attention of the appropriate Director and the Associate Provost IRT before any further action is taken. Based on the approval and authorization of the appropriate Director, the Associate Provost IRT, and the Office of the Provost and Vice President for Academic Affairs, actions may then be taken to further identify and resolve the suspected problem.

This policy also applies to requests for information from entities outside IRT or outside the University. Requests to provide information or access outside a person's normal duties should be made with the appropriate Director's, Associate Provost IRT's, and Provost's knowledge and approval.

With privileged access to information comes responsibility and accountability. Information Resources and Technology must establish and maintain the highest standards of confidentiality. Any person found in violation of the above standards and guidelines of confidentiality will be subject to appropriate disciplinary actions and sanctions.
