POSITION VACANCY ANNOUNCEMENT

Position Title          Administrative Support

Appointment          Full-time; 40 hours per week

Open/Close Date   Thursday, April 18 to Thursday, May 2, 2013

Application Hours  Monday, Tuesday, Wednesday, 1-4 pm; Thursday and Friday, 9-11 am

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Provide administrative support to the Chair of the Art Department and faculty; receive and coordinate telephone communications and incoming correspondence; schedule appointments; arrange travel; greet students, parents and visitors; prepare complex materials for faculty (correspondence, reports, exams, syllabi, manuscripts, handouts, materials for classes, etc.); compile book orders; maintain student database, files and records; assist students with reserve/wait lists, class registration, course transfers, changes, cancellations and additions; compile and tabulate course evaluations; develop and maintain spreadsheets; reconcile budgetary accounts; write/process requisitions; coordinate bulk mailings; maintain inventory of supplies, furniture and capital expenditures; prepare student payroll paperwork; perform other duties as assigned.  In order to meet the needs of the University, the University retains the right to assign duties and requirements to employees, determine and change starting times, quitting times and shifts and change appointment specifications.

MINIMUM QUALIFICATIONS:

Appropriate office/secretarial experience that demonstrates: ability to work independently; make decisions; set priorities; perform detailed job tasks with accuracy; excellent skills in verbal, written and personal communications; ability to show respect and sensitivity for cultural differences; ability to work with sensitive information; proficient in word processing, spreadsheet and database management programs; knowledge of accounting procedures; ability to compose correspondence; create reports; handle multi-step processes; coordinate/manage multiple projects and tasks simultaneously and on deadline; type 45 wpm;

MENTAL/PHYSICAL REQUIREMENTS

Incumbent must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation.  Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust.  Working conditions are typically moderately quiet.
