Application Hours    Monday, Tuesday, Wednesday, 1-4 pm; Thursday and Friday, 9-11 am

 

CHARACTERISTIC DUTIES AND RESPONSIBILITIES:

Provide administrative support to the Chair of the Nursing Department and faculty; receive telephone communications, correspondence, and greet employees/visitors; respond to questions and requests; schedule appointments for Chair; maintain department files and computerized information for data entry; manage correspondence and gather data for annual reports; complete travel arrangements and process faculty travel and reimbursement requests; secure and record current status of faculty liability insurance, health requirements and nursing licensure; maintain grant records, agency contracts, official meeting minutes files and department budget records; prepare department and student payroll; hire and supervise student employees; coordinate department typing assignments, duplicating of materials and mass mailings; prepare materials for and assist in planning department activities and events; maintain office supplies, laboratory equipment and supplies; process and distribute mail; perform other related duties as assigned.  In order to meet the needs of the University, the University retains the right to assign duties and requirements to employees, determine and change starting times, quitting times and shifts and change appointment specifications.

MINIMUM QUALIFICATIONS:

Three years office or related experience; excellent skills in written, verbal and personal communications; ability to productively work/interact with diverse groups of people; show respect and sensitivity for cultural differences; work independently and exhibit sound/accurate judgment; work with sensitive information and records; is proficient in Microsoft Office Suite; skill with word processing, spreadsheets and database management applications; type 50 wpm; editing and proofreading skills; analytical skills with ability to collect, compile and organize facts, figures, etc. and triage information to identify appropriate persons for contact and follow through; mathematical and problem solving skills; ability to deal with periodic timetable changes; compose correspondence; create computerized reports; handle details and multi-step processes.

MENTAL/PHYSICAL REQUIREMENTS

Incumbent must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation.  Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust.  Working conditions are typically moderately quiet.
