POSITION VACANCY ANNOUNCEMENT

Position Title          Administrative Support                      

Department            Center for Orientation and Advisement

Reports to               Director of the Center for Orientation and Advisement

Appointment           Full-Time; 37.5 hours per week

Open/Close Date   Thursday, July 11 – Thursday, July 25, 2013

Application Hours  Monday, Tuesday, Wednesday, 1-4pm; Thursday and Friday, 9-11 am

 

CHARACTERISTIC DUTIES AND RESPONSIBILITIES

Provide receptionist and administrative support for the Center for Student Development; receive and coordinate telephone communications, correspondence and visits; maintain and update files and prepare course evaluations for the appropriate academic programs; input and maintain Orientation database; assist with new student orientation and AEP’s Majors and Minors Fair; prepare letters, reports, forms, databases, evaluations and surveys; coordinate and prepare paperwork for payroll; design flyers and publications for office events; assign advisors, inform students and advisors of advising assignments and schedule appointments; edit website; order office supplies and other materials; perform other duties as assigned.  In order to meet the needs of the University, the University retains the right to assign duties and requirements to employees, determine and change starting times, quitting times and shifts and change appointment specifications.

MINIMUM QUALIFICATIONS

Two years receptionist/office experience that demonstrates; excellent verbal, written and customer service skills; ability to work/interact with diverse groups of people, showing respect and sensitivity for cultural differences; ability to effectively communicate in person, via email and telephone with students, University personnel and external constituents; possess a commitment and respect to maintaining confidentiality; editing and proofreading skills; math computation skills; advanced skills in data entry, word processing and spreadsheet applications; ability to troubleshoot software applications; perform detailed job tasks with accuracy; deal with periodic timetable changes; draft correspondence and reports; coordinate/manage multiple projects and tasks simultaneously and on deadline; and ability to type 45 wpm.

MENTAL/PHYSICAL REQUIREMENTS

Selected candidate must have the mental and physical capabilities to perform the essential functions of the position with or without reasonable accommodation.  Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust.  Working conditions are typically moderately quiet.
