Resource Calendars

Management of resource calendars in Google Apps

In Google Apps, calendars can be created by an individual who will maintain the calendar, and shared with anyone else who will need to maintain the calendar.

In order to create a new calendar, log in to FSMail using a web browser. Click the Calendar tab near the top left of the browser window.

Under the month grid, locate the heading My calendars. To the right of these words click the small triangle and from the menu that appears select Create new calendar.

Creating a Calendar in FSMail

Give the calendar a name, such as Library Packard Room for a calendar that will be used to manage use of the Packard Room in the library.

Under Share with specific people, type in the fsmail.bradley.edu email address of the person to share the calendar with.
To the right of this, set the permission settings for the person you have just added. The options are Make changes AND manage sharing, Make changes to events, See all event details or See only free/busy (hide details). Once you have selected one of these options, click the Add Person button.

Click the Create Calendar button.

Calendar Options

The person you have invited will not receive an email notifying them that they have been given access to the calendar. However, the calendar will now appear under My calendars in their FSMail browser window. If they do not immediately see the calendar, they can close the calendar browser window and open a new one and the shared calendar should appear.

Notifications are not enabled by default for new calendars. To configure notifications, make sure you are in the Calendar tab (near the top left of the browser window). Near the top right of the window next to your email address, click the gear icon and select Calendar settings. Under the words Calendar Settings at left, click Calendars. Locate the calendar in the list you wish to modify and click the link under Notifications to manage notifications.

To give someone else access to an existing calendar at a later date, in FSMail click the Calendar tab near the top left of the browser window. Near the top right of the window next to your email address, click the gear icon and select Calendar settings. Under the words Calendar Settings at left, click Calendars. Locate the calendar in the list you wish to modify and click the link under Sharing to manage sharing.

If you need to import an existing calendar to FSmail, do not use the export feature in your calendar application. You will want to use the SAVE AS option and choose .iCal as the format. Once you have the calendar you want to upload saved to your computer, choose Import Calendar under the Other Calendars menu. Then select your .iCal file that you just saved.
