5.05 Electronic Mail Account Usage

I. Purpose

A University policy that describes the retention policy for electronic records has been approved by the Board of Trustees and is posted on the Controller’s web site where it can be viewed. Emails are examples of electronic records. This policy documents Bradley compliance with this policy.

II. Description

All business related emails are to be archived and retained for a period matching the recorded retention period in the Retention Policy Table on the Controller’s web site. To assure that all business related emails can be identified and archived in a common location, all business related email must be received by the main University provided email server. Further all business related email messages must be sent from the main University provided email server.

III. Scope

This policy applies to all faculty, staff and administrators at Bradley University. Further, it applies to all business related group email addresses used to receive mail from constituents including but not limited to potential students.
