Students
All incoming enrolled students will receive a Quick Card.
Freshmen and transfer students will receive their Quick Card during Orientation when a photo is submitted. If you are not attending Orientation you may submit a photo and pick up your Quick Card at the IT Service Desk in the library. See the Photo Submission link for more information.
A current government issued photo ID is required for identity verification. This includes a driver’s license, State ID, or passport. Driver’s licenses from foreign countries, college or university ID cards, credit/bank cards, or insurance cards are not accepted.
Employees
All new faculty/staff will receive a Quick Card. New and returning employees must visit the Payroll Office to complete all required documents prior to being eligible for a Quick Card. Employees are also required to present a government issued photo ID for identity verification.
Replacement cards are issued for damaged, lost, or stolen cards at the IT Service Desk in the library. Replacement fees may apply.
The full legal name will be printed on the back of the ID card along with the library bar code.
The bottom magnetic stripe is used for campus privileges assigned to the card such as: meal plan, QuickCash, library card, print stations, copiers, and access to buildings and labs as assigned.
Embedded in the card is a smart chip and antennae which allows for a contactless entry at most locations. If the card is bent or damaged, the contactless function will not work.
How to Care for Your Card
Your Quick Card is designed to be used for your entire academic stay with the University given normal usage and will remain active until you graduate or leave the University.
Here are some tips to keep your card in top condition:
- Never store your ID card in the direct sunlight or expose it to excessive heat.
- Keep your card protected. Don’t let it get scratched, chipped, cracked, or bent. We recommend carrying your card in a sleeve or keychain cardholder.
- Do NOT bend, fold, or punch holes into your ID card. Doing so damages the contactless function of the card. Replacement fees will apply.
- Keep your card away from electromagnetic fields such as microwaves, televisions, telephones, and stereos.
- Wireless charging stations could damage your card.
Quick Cash is a convenient way to purchase goods and services at select locations. Quick Cash is a prepaid debit account administered by the University. A Quick Cash account is assigned when the student agrees to the terms and conditions of the Cardholder Agreement.
Deposits can be made on My Account using your BUnetID and password, in person at the Cashiers windows in Swords Hall, or at the Value Transfer station (VTS) located in the Library. The VTS machine takes cash deposits only. Quick Cash is not available for cash withdrawal. Funds remain on your account until the student graduates or leaves the University.

New Students, Faculty and Staff
You will receive a welcome email with instructions to submit your photo. Please review the photo requirements listed below before submitting a photo. You must also submit a photo of your government issued photo id, usually a Driver’s license. If your photo is rejected, you will receive an email with an explanation and an option to resubmit. Once your photo is approved we will print your id and have it ready for pick up either at the Service Desk or at Orientation if you are a new student.
If you do not receive a welcome email, to submit your photo, please send an email to [email protected] to request a welcome email be sent to you..
Submit your photo at least 2 weeks before you plan to pick it up.
Online Only Students
Our photo submission processes are changing!
All students are required to provide the University with a photo. If you have not already done so, please review the photo requirements. After your enrollment is completed your information will load into the ID Photo System. You will receive a welcome email with a link to submit your photo. You must also attach a photo of your Driver’s License. This will replace the notary form you previously mailed in. We will charge your tuition account the $15 fee to process and mail your ID(s) when we have both an approved photo and a copy of your Driver’s License.
You will receive an email with the tracking number when we have mailed your ID(s). Your ID(s) are mailed USPS by registered mail and requires a signature for delivery.
Local students or those students coming to campus have the option of picking their ID card up which eliminates the fee for postage and handling. Please allow 2 weeks to process and mail or pick up your ID(s).

Photo Requirements
- Please NO selfies, have someone take your photo.
- The photo must be a current portrait from the top of the head to the top of the chest.
- Your face must be clearly visible and facing forward – no profile shots, shadows, sunglasses or hats.
- The photo must be in color
- You must be the only person in the photo
- Background must be a neutral background, such as a painted wall
- Nothing can be touching the face such as hands, props or other distractions
- Wear prescription glasses if you normally do so
- No graduation caps, gowns or costumes

BU Bucks (declining balance)
BU Bucks are an additional option for students to use at Bradley Dining locations. BU Bucks are designed to be used year round including Interim and Summer Sessions, or when you arrive on campus before the Meal Plans are loaded.
All students may purchase BU Bucks by going online, at the VTS station (self deposit) in the Library or at the cashiers window in Swords Hall.
- You will receive your BU Bucks account automatically.
- Make deposits conveniently online (eAccounts), minimum deposit is $10.
- BU Bucks can be used at any Dining location on campus.
- Take advantage of special promotions throughout the year.
- BU Bucks do not expire until you leave the University
- Any unused BU Bucks in your account when you leave the University will not be refunded to you.
Your Bradley Quick Card is required for entry to most Academic and Administrative buildings. All residence halls are equipped with card reader access. Access is allowed for assigned residents only. Please contact the Residential Living Office at 111 Sisson Hall, 309-677-3221, for problems related to residence hall access.
Students who have “claimed” their classes (current with all tuition payments) will automatically receive access to all cafeterias, library resources, and the Markin Family Student Athletic Facility. You must be a current student to be eligible for any door access privilege. Access to classrooms and labs are assigned by the specific Department office.
Problems with Door Access?
In the event of a card reader or card malfunction, you may contact your Building Supervisor. Please contact University Police at (309) 677-2000 for additional assistance.
Students, faculty and Staff may use their QuickCash account to use the Campus Printing Service (CPS).
University guests may purchase a Printer/Copier card at the Library for $2.00, with an initial value of $1.52. ( $2.00 less the $.48 for the cost of the card.) Additional funds may be added to the guest card with cash, check or credit/debit cards at the Cashiers’ windows in Swords Hall or with cash at the Value Transfer Station located in the Library. Please note that funds deposited to Printer/Copier cards are non-refundable.
Printer/Copier Card Deposit
To add additional funds to your Printer/Copier card, enter the BU ID Number located on the bottom left hand corner of your card, and the Last name of “card”.
If you have problems making a deposit to an account, please feel free to call the QuickCard Office at (309) 677-3463, Monday – Friday, 8:00 a.m. – 5:00 p.m.
You can lockout your missing card by logging into My Account using your BUnetID and password and click on the Deactivate Card tab. You can also call the Service Desk at (309) 677-2964 to report your card lost or stolen.
Card Replacement fees are as follows. A current government issued photo ID is required to replace a card. Replacement cards are issued at the Service Desk or after hours and weekends at MacMillan.

Temporary ID Cards
Students and Faculty/Staff may check out a temporary ID Card for 24 hours. You can get the temporary ID Card at the Service Desk or at McMillan Hall. The cost for losing a temporary ID Card is $10.
Students graduating from the University with a balance in their Quick Cash account are entitled to a refund of those funds if the following conditions are met:
- The student has no outstanding fee or fines owed to the University (ie: tuition, parking fines, library fines, etc.). Students with an outstanding obligation will need to satisfy/rectify this situation prior to refund issuance.
- The student is not registered for an upcoming semester or term with the University following their graduation date.
No refunds will be made for balances of $15.00 or less.
To initiate the refund process, the student can:
- Email the request to [email protected] and include name, student ID number, and mailing address
- Visit the Quick Card Office in room 103 Swords Hall to complete a refund request – bring your student ID
Cash refunds, under $300, may be requested beginning on Study Day. Please allow at least 10 minutes to process a cash refund. Cashier hours are Monday – Friday 10:00am – 2:00pm.
Requests for refunds greater than $15 are due by Study Day for receipt of monies in May. All other refunds will be issued by check in June.

No, the new Quick Card does not have to be replaced each year. As long as you are a valid student, faculty or staff member, your card will be active for all the privileges that are assigned to your card.
No, We recommend you keep using your current ID and only get it replaced if it is lost or not working.
Yes! Both the red Quick Card and the new Quick Card will work for door access, meal plan, Quick Cash, etc.
